Office 365 Multi Factor Authentication Setup

If at any point during the process it asks you to pick an account, please choose the account you are trying to sign in with.

Initial Multi-Factor Authentication Setup

  1. Go to portal.office365.com and login
    1. If already logged in
      1. Click your initials in the top right
      2. Sign Out
      3. Log back in again
  2. It will ask to enter more information, choose Next
    1. This is intentional on your first login with Multi-Factor Authentication
    2. It may also ask you to re-enter your password, please do so
  3. Once you reach the "Additional Security Verification screen, you have two options on how
    1. Authentication phone
      1. Make sure that the country code is correct
      2. Enter your WORK cell phone number
      3. Next
      4. You will receive a text message with a 6 digit number
        1. Type this 6 digit number in the provided box
      5. Verify
      6. When you get to Step 3, you can click Done
        1. We will describe how to access these in another article after you are setup
    2. Mobile App
      1. Choose between "Receive notification for verification" (just asks if you are trying to sign in or not) OR "Use verification code" (type in code given by app)
        1. DO NOT choose "Receive notification for verification" if you use Teams on your phone, this option causes issues when resetting your password
      2. Click Set up
      3. Follow the on screen instructions
      4. Next
      5. Once activation status is confirmed, click Next
      6. You will receive a notification depending on which option you selected above
        1. Receive Notification - You will receive a notification from the app, choose to allow
        2. Verification Code - Open the app and type in the 6 digit code next to the relevant account
      7. Verify
      8. It will ask you the enter a phone number in case you lose access to the app
        1. Type in your WORK cell phone number
        2. Make sure to choose the United States in the Country Code box
      9. Next
      10. When you get to step 4, you can click Done
        1. We will describe how to access these in another article after you are setup
  4. It may ask you to sign in again and verify your phone and e-mail
    1. You only need to do so on those with a blue Verify link next to them
      1. If it says Change, you can skip it
    2. If you changed your phone number from what it was originally, you may need to verify your number again
  5. Finish
Once you have two-factor authentication set up, you will need to re sign-in on any mobile devices attached to your account.

To add authentication methods after Multi-Factor Authentication is already setup

  1. Go to portal.office365.com and login
  2. Click your initials or picture in the top right corner
  3. View Account
  4. Security info (left side of the screen)
  5. To add a method
    1. + Add method
    2. Choose additional method
    3. Follow on-screen instructions
  6. To change Default sign-in method
    1. Click change next to "Default sign-in method:"
    2. Choose the method that you would prefer to be the default
      1. Phone - receive 6 digit number as a text message to your phone
      2. Microsoft Authenticator Notification - receive a pop-up notification on your phone asking to approve sign-in
      3. Authenticator app or hardware token code - receive 6 digit number on the application (updates every 30 seconds)
    3. Confirm

Setup App password

Only need to do this if a program requests an "App Password". Otherwise, enter in your normal Windows Login Password.
  1. Go to portal.office365.com and login
  2. Click your initials or picture in the top right corner
  3. View Account
  4. Security info (left side of the screen)
  5. + Add Method
  6. App Password
  7. Enter the name of the app that is requesting the password
    1. If less than 8 characters, add more that are still relevant (ex. Outlook Desktop; Outlook Laptop; etc.)
  8. Copy the password to your clipboard (2 options)
    1. Highlight and copy characters under Password: OR
    2. Click the paper icons next to the password
  9. ***Paste the password in the app that's requesting***
    1. You won't be able to access this password again
    2. DO NOT SAVE UNLESS IN SPECIAL PASSWORD DATABASE
      1. You can create a new one in the future if you lose it
  10. Once you are done with the app you created this for, click Done in your browser
